Writing Professional Emails

Why Professional Email Matters

The way you communicate reflects your professionalism. Writing clear, respectful messages helps instructors, advisors, and offices assist you faster — and prepares you for workplace communication.

How to Write a Professional Email

1. Use a Clear Subject Line
Make it specific so the recipient knows the purpose immediately.

Examples:
Question About Assignment 2 in ENGL 1110Request for Feedback on My Project Submission
Avoid vague subject lines like: Help!

2. Use a Polite Greeting
Start with “Hello” or “Dear” followed by the instructor’s title and last name.

Example:
Hello Professor Smith,

3. Introduce Yourself (if needed)
Especially in large classes or online courses, briefly include your name and course section.

Example:
My name is Jane Doe, and I’m in your ENGL 1110, Section 2 class.

4. State Your Purpose Clearly
Keep your question or request concise and focused.

Example:
I have a question about Assignment 2 due next week. Could you please clarify the submission instructions?

5. Use Polite Closing Language
Thank the recipient for their time or assistance.

Example:
Thank you for your time and guidance.

6. Use a Professional Sign-Off
Examples: Best regards, Sincerely, followed by your name.

Example:
Best regards,
Jane Doe
DACC Student

Organizing & Managing Your Inbox

Organize by Class or Category

  • Create folders (e.g., "ENGL 1110," "Financial Aid," "Advising").
  • Drag emails into the right folder after reading.
  • Keep your inbox clear to find new messages quickly.

Use Rules & Filters

  • Automatically move messages from Canvas or professors to their folders.
  • Flag or pin important messages (e.g., deadlines, feedback).
  • Set up automatic categories by sender or keyword.

Archive, Don't Delete

  • Archive emails you've read but might need later.
  • Use "Search" to retrieve archived messages anytime.

Quick Tip:

Spend 5 minutes each week cleaning your inbox. You'll save hours over the semester.

Using the Calendar & Notifications

Managing Your Schedule

  • Add class times, office hours, and exam dates.
  • Color-code by subject for quick visibility.
  • Create reminders for assignments and meetings.

Sync Across Devices

Bonus Tip:

Connect your Outlook calendar with Microsoft Teams to manage meetings and study sessions all in one place.

Troubleshooting & Password Help

If you’re having trouble signing into Outlook, Canvas, or MyNMSU, don’t worry—these quick tools can help you get back on track. Below you’ll find common fixes and a direct link to reset your NMSU password securely.

My login keeps looping back to the sign-in page

Try clearing your browser cache and cookies, then close and reopen your browser. If that doesn’t help, try using an incognito/private window. Sometimes saved credentials can interfere with sign-in.

I forgot my password

You can reset your password using NMSU’s secure password portal. Click the “Reset Your NMSU Password” button above and follow the on-screen instructions. Make sure you know your Aggie ID number and recovery email.

I can’t access my NMSU email

Make sure you’re signing in with your full NMSU email (e.g., username@nmsu.edu). If you’re a student, your email is tied to your MyNMSU account—so resetting that password also resets your Outlook access.

I think my account is locked

After too many failed login attempts, accounts are temporarily locked. Wait 15–30 minutes, then try again or reset your password. If you still can’t log in, contact help@nmsu.edu.
